The National Transport and Safety Authority (NTSA) notice on Duty Status and Vehicle Records Update.

In undertaking its mandate, the Authority has operationalized the duty update module/ vehicle records update tool to provide necessary support to all motor vehicle / motorcycle owners including Financial Institutions, Government Agencies, Insurance Companies, Dealers, Companies among others.
DOCUMENTATION REQUIREMENTS
The following documents are required to facilitate duty status/records update for motor vehicles and motorcycles;
1. A duty/records update request letter.
Kindly ensure the contact information (Phone Number and email address) of the motor vehicle owner is provided. A copy of the same letter shall be stamped by the Authority as proof that the documents were perused and received.
2. Copy of the identification card of the owner
3. The original logbook for the motor vehicle
4. KRA Entry document
5. Duty payment receipt
DOCUMENTATION SUBMISSION POINTS
The above documents shall be submitted for verification and acceptance at NTSA offices.

DOCUMENTATION PROCESSING AND CHARGES
1. The Authority aims to undertake the verification process and update the duty/records update in the service portal within 7 working days. The application processing time starts when the requisite documentation is verified and received at the NTSA offices.
2. Upon updating of the duty status/vehicle records, a notification shall be sent advising the motor vehicle owner to collect the original documents submitted to the Authority.
3. The application for duty/records update and the verification process is FREE of charge. All communication in relation to the application shall be through official NTSA channels.
DOCUMENTS COLLECTION AFTER PROCESSING
1. Collection Point: Upon receipt of the notification on collection of the original documents through official NTSA channels, the registered owner is expected to visit the NTSA office where the application documents were presented and received.
2. Collection timing: Monday to Friday, 8:00 AM to 5:00 PM (excluding gazetted public holidays)
3. Documentation Required:
i) Received and stamped copy of the duty update / records update request letter
ii) Original ID of the motor vehicle owner
iii) Authorization letter from the organization providing the details of the person to collect the original documents
iv) The original ID of the authorized person
DUPLICATE CERTIFICATE OF OWNERSHIP (LOGBOOK) APPLICATION
Upon completion of the duty status/ record update, the Motor vehicle owner is required to apply for a duplicate logbook.
The application process is as provided below;
i) Log in to your eCitizen account
ii) Select NTSA service portal (New)
iii) Scroll down and select the motor vehicle services and click on view
iv) Go to duplicate logbook, then click on next
v) Select the reason for duplicate logbook, pick duty update
vi) Attach a colored copy of the original logbook in pdf
vii) Select logbook counter collection office
viii) Enter details of authorized person to collect, then click search
ix) Scroll down and tick the declaration box then click preview
x) Then submit to pay for duplicate logbook and click complete.
